Keep your current invoice workflow
Export a CSV from your spreadsheet using the InvoicePing template, or add an invoice individually. Imports check each amount, currency, due date and client email, then create inactive drafts. Matching existing invoices are skipped; conflicting details cancel the import. Attach the original PDF and review the recipient and message before activating each draft.
Automate the uncomfortable part
Choose from five stages: three days before the due date, on the date, and three, seven and fourteen days after it. Scheduled reminders run during weekday business hours in your chosen timezone. Choose a friendly, direct or firm tone for each invoice. Emails use your sender name through InvoicePing, with replies routed to your verified account address.
Stay in control when a client replies or pays
Pause reminders until an agreed payment date, or indefinitely while you resolve an approval issue. Check your payment records and mark the invoice paid to stop future reminders. InvoicePing does not automatically detect bank transfers, payments or replies, and an email already being sent cannot be recalled. The invoice timeline shows sending history and delivery issues.
Do you need another reminder tool?
If your invoicing software already tracks payments and sends reminders reliably, start with its built-in feature. InvoicePing is most useful when invoices live across PDFs, spreadsheets or tools without the follow-up workflow you want. It focuses on tracking and reminders rather than invoice creation, bank reconciliation or a shared finance team inbox.
